SANRAL is seeking a proactive and customer-oriented Receptionist to join their administrative team. This role is crucial in managing front desk operations, ensuring seamless communication, and providing administrative support. Minimum Qualifications and Experience : receptionist job

  • Matric / National Senior Certificate (Grade 12) – A post-matric qualification is advantageous.
  • Minimum of three years’ experience in reception and switchboard management.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

Key Skills and Competencies

  • Strong knowledge of switchboard and telephone systems.
  • Ability to manage general office equipment like printers, copiers, and scanners.
  • Excellent verbal and written communication skills.
  • Effective multitasking and time management abilities.
  • Professional and courteous approach to handling visitors and telephone inquiries.

Primary Responsibilities

Front Desk & Visitor Management

  • Warmly greet and assist visitors, ensuring they reach the appropriate department.
  • Maintain a well-organized and welcoming reception area.
  • Work in coordination with security personnel to track visitor logs and issue badges.
  • Monitor and report any unusual or suspicious activities.

Switchboard and Call Handling

  • Manage incoming calls with professionalism and courtesy.
  • Direct calls to the correct departments and provide relevant information to callers.
  • Maintain and update internal telephone directories.
  • Ensure efficient management of voicemail and message distribution.
  • Keep records of boardroom bookings and maintain an updated schedule.

Administrative and Office Support

  • Handle incoming and outgoing mail and coordinate courier services.
  • Assist with document verification and general administrative tasks.
  • Manage office supplies, including stationery inventory and distribution.
  • Support staff travel arrangements and coordinate internal meetings.
  • Assist in compiling meeting minutes and supporting the registry team as needed.
