Key Responsibilities of an Aramex Receptionist
As an Aramex Receptionist, you will be the first point of contact for our clients and visitors, making a lasting impression with your professionalism and efficiency. Your duties will include:
- Efficient Call Management: Handling incoming calls and ensuring they are answered and returned within three rings. You will also report any telephone system issues to the relevant service provider to maintain seamless communication.
- Daily Telephone Reports: Printing and organizing daily reports from the phone management system to ensure accurate records and performance tracking.
- Mail Sorting and Distribution: Sorting business mail and ensuring it reaches the correct department or individual promptly. You will also be responsible for assembling and dispatching the business mailbag.
- Visitor Reception and Direction: Greeting guests warmly and directing them to the appropriate person or department, ensuring a welcoming and organized environment.
- Timely Message Delivery: Sending messages to the appropriate recipients within the performance standard time, ensuring that no communication is delayed.
- Document Handling: Receiving and filing important documents to maintain a well-organized office environment.
- Polite and Orderly Communication: Engaging with callers in a courteous and respectful manner, ensuring that all interactions reflect the high standards of Aramex.
- Extension Management: Updating and distributing the list of phone extensions to all employees and managing the assignment of extension numbers to personnel.
