  • Experience: At least 3-5 years of relevant experience in administration, particularly within healthcare settings, is required.
  • Skills and Proficiency:

Responsibilities of the Administration Clerk

The Administration Clerk will play a vital role in the coordination and oversight of various administrative tasks, particularly those related to patient care and management. The primary duties include:

1. Patient Administration Management

  • Oversee all personnel actions related to patient administrative matters.
  • Ensure compliance with all relevant laws, guidelines, and regulations in patient administration.
  • Coordinate and manage the collection and documentation of patient data, ensuring accuracy and confidentiality.

2. Operational Support

  • Provide efficient administrative assistance across all operational tasks within the facility.
  • Oversee a well-organized patient scheduling system, ensuring the smooth movement and tracking of patient files.
  • Ensure that cashiers and admission clerks complete their tasks on time, especially regarding the collection and posting of revenue.

3. Record Keeping and File Management

  • Maintain accurate patient records and ensure timely retrieval and return of patient files.
  • Monitor and manage the HPRS system and file booking system to optimize file movement.

4. Staff Supervision and Development

  • Lead and supervise administrative staff, ensuring efficient performance and adherence to organizational standards.
  • Sign employment contracts, conduct regular employee appraisals, and provide guidance where needed.
  • Handle grievances and disputes within the department, implementing progressive disciplinary procedures when necessary.

5. Quality Improvement and Reporting

  • Develop and implement quality improvement programs to address patient complaints and improve administrative efficiency.
  • Compile and submit daily and monthly reports to management, keeping them informed of department operations and patient affairs.

6. Departmental Coordination

  • Manage the department’s stationery and consumable stock, ensuring adequate supplies.
  • Compose official documents, such as letters and memos, as requested by supervisors.
  • Provide secretarial services to support various administrative needs within the establishment.

7. Compliance and Standards

  • Ensure adherence to the National Core Standard and Ideal Clinic requirements, maintaining high standards in patient administration and overall facility management.
  • Control patient waiting periods, optimizing the patient flow within the clinic.
